# **Three-way matching**.

Orders, goods received and invoices are often recorded manually by different people within the organisation. So how can you check that everything has been entered correctly and that all the details match up? The answer is: three-way matching! What is three-way matching? The term pretty much says it all: (1) the purchase order, (2) the goods receipt and (3) the invoice are reconciled against one another. This is useful for matching a goods invoice to the order or goods received, but can also be used to match an invoice to a purchased service or a (contractual) obligation.

## Basic requirements for three-way matching

- 1. Recording orders and deliveries
- 2. Invoice matching
- 3. Process an invoice

### 1. Recording orders and deliveries

To use 3-way matching, your organisation must record orders and receipts with a purchase order number (PO number) in the financial software. This unique number enables the matching process to be carried out.

### 2. Invoice matching

You receive the invoice, which is forwarded from your inbox to the accounting software. The matching process is initiated straight away. Using the unique order number that the supplier includes on the invoice for you, the corresponding order or goods receipt is quickly matched to the invoice. Handy!

### 3. Process an invoice

Is it a match? If so, you can forward the invoice to start the approval process. Or you can mark the invoice as payable straight away if it has already been approved.

## Benefits of three-way matching in Elvy

### Automated process

Incoming invoices are imported into Elvy from your email inbox, where automatic invoice recognition takes place using OCR software. In the case of an e-invoice, Elvy recognises all invoice lines. This means you do not need to enter anything manually into your accounting software, and the three-way matching process can be initiated straight away. In addition, it is possible to set up the approval process in advance, so that the invoice is automatically submitted to the correct people for approval.

### Fewer steps

You want to process an invoice and need to check whether it matches the order and the delivery note. There’s just one problem: these have been dealt with by another colleague. So how do you know if everything matches up? After several email exchanges, you’ve finally figured it out. It’s quicker with Elvy! The invoice arrives in Elvy straight from your inbox and the three-way matching process is set in motion. When a match is found, Elvy immediately displays the relevant details from the purchase order and delivery note. Fewer steps, more efficient working!

### Prevent errors and fraud

Errors or misunderstandings can, unfortunately, sometimes occur when ordering goods or providing services. For example, it may happen that fewer goods are delivered than stated on the invoice, or that the costs on the invoice do not match the amounts in the quotation. And what about fraud?! You can prevent all of this with three-way matching: Elvy detects discrepancies when matching against the invoice and filters them out for further verification. You can then approve the invoice or pay it straight away with complete confidence.

### Real-time integration with your ERP system

Do you have an ERP system that already records purchase orders and goods receipts? No problem! All you need is Elvy Invoice Processing to automatically match incoming invoices with purchase orders and goods receipts in your ERP system. Elvy can be integrated in real time with various financial software packages.
