# “No more cupboards full of ring binders – and a complete overview of the invoice flow!”

**Victron Energy is a large company with a relatively small office staff. This is made possible by effective automation. The flow of invoices is kept under control with Elvy. Elvy saves us 70 per cent of the time spent on bookkeeping – and that’s not even mentioning all the trees that no longer need to be felled.**

Victron wanted to get rid of the cupboards full of ring binders. ‘What a waste of all those trees. As soon as we heard that the tax authorities allow financial records to be stored entirely electronically, we immediately set about looking for a good scanning solution that could interface with Exact Globe,’ explains Roy, an administrator at Victron.

**Right first time**

That search yielded three packages. Roy: ‘We tested the first system to death, but it didn’t deliver what it advertised: the integration with Exact didn’t work well enough. The second package we tried was Elvy. That worked right first time. The basic setup is simple, but that’s precisely what makes it so pleasant to work with. The integration with Globe worked perfectly too. So Elvy does deliver what it promises: it works well and the price is right. We didn’t even bother trying the third package.’

**Quick to get started**

After purchasing it, Victron was able to get started with Elvy straight away: ‘The implementation was sorted within a day, as most of the groundwork had already been done. And it’s very easy to learn how to use the software. Elvy saves us 70 per cent of the time compared to manual bookkeeping. It’s simply a matter of having an email parsed, and Elvy generates a booking proposal in Exact Globe.’

**Never lost again**

In the past, Roy had to stamp an invoice, code it, enter it manually and then distribute it within the company. ‘That meant I also had to send invoices to Groningen and Eindhoven. It could take weeks before I got them back, and sometimes, after two months, nobody knew where those invoices had gone. Now, invoices go straight to the person responsible for the costs incurred. What’s more, all invoices above a certain amount are automatically sent to the management for approval. For us, that’s an important part of the audit process.’

**New integration**

In short, Victron is very enthusiastic about Elvy. Roy: ‘I’m particularly impressed by its simplicity and convenience.’
