# Save time with the Elvy expense claim app

**In the 13 years that Johan Rijnart has been working as a controller at Fatboy, he has seen the work in the accounts department change dramatically. ‘When I first joined, all invoices were still sent by post and organised in folders. Now we use a web application for that, and an app processes all our expense claims. I can certainly say that Elvy has made our work a lot more enjoyable. Now we have time for more fun things!’**

When Fatboy’s beanbags first hit the market some twenty years ago, business took off almost immediately. Variants were introduced for both children and dogs, and the ‘lamzac’ – a lounger that you inflate with just a few puffs – and the hammock also became huge successes. The brand has since outgrown its premises time and again and is now in its fourth building, employing around 80 people. There’s even a sister company in Texas: Fatboy USA.

**Greater focus on costs**

Johan Rijnart: “We’ve got nothing to complain about. Even during the pandemic, things went better than expected, particularly with the hammocks. Our online shop boomed, and sales through all our retailers and a few online players such as Fonq also soared. It’s been great to witness that growth over the years. Initially, the focus was mainly on the sales side, but as a result of our success, procurement – and therefore the cost side – later received more attention. Ultimately, this meant the end of the stream of invoices that used to be printed out, passed round to managers in folders for approval, and eventually archived in ring binders. It was time-consuming work that Elvy Invoice Processing put an end to.”

***‘After the demo, it was the ease of use that particularly appealed to me. You can easily make changes yourself, such as adding a new authoriser.’***

“We ended up with Elvy on the recommendation of our SAP partner, Asecom. Their experience with the invoicing module had been positive, and the first meetings followed soon after. After the demo, it was the ease of use that really appealed to me. You can easily make changes yourself, such as adding a new authoriser. Something that with other providers often ends up being charged by the hour. What’s more, this module is incredibly clear and well-organised. My screen displays no more information than I need. Around forty staff members are now using the web application, and everyone is happy with it. The ease of use and the time savings we’re all experiencing are incredibly valuable. No one needs to walk over to our department or ring us anymore, because all the information is right there in front of you. It works both ways, and we’re less dependent on others.”

**Expense claim app**

“Since the start of this year, we’ve also been using Elvy’s expense claim app with great pleasure and ease. You can now simply take a photo of a receipt or similar document with your phone and submit your claim. No more hassle with sticking receipts onto forms and chasing your manager’s signature. What’s more, you never lose anything – this is just as handy in invoice processing, by the way – and with a single tap, you can see the photo linked to the entry. Nothing needs to be filed away in folders anymore, and you can find everything much more easily. It’s not just me who’s happy, but perhaps my colleague in Accounts Payable even more so. She now only logs in once a week and everything is sorted in no time at all. That means manual entry and printing are truly a thing of the past!”

***‘We might well end up using Elvy Contract Registration in the future.’***

**Bug quickly resolved**

“Were there any issues that didn’t go quite so smoothly? Hmm, not many, actually. It was only with invoice processing that, at the start, the invoices weren’t being imported into SAP; no PDFs were appearing in the system. But it was only a matter of time before this was sorted out. Communication between our SAP specialist at Asecom and Elvy went very smoothly. We may well work with Elvy Contract Registration again in the future. At the moment, contracts are scattered across email inboxes or there are paper versions in circulation. Perhaps Elvy can offer support in that area too, and we can create a link to our invoices. But for now, that isn’t a top priority. And who knows, Elvy might introduce even more modules in the future that we could benefit from. Technology never stands still. I’m keeping a close eye on developments via their newsletter!”
